About the Job

Create smiles. Build trust. Make an impact.

As Westchester Gentle Dentistry continues to grow, we're looking for an experienced, compassionate, and highly motivated Dental Treatment Coordinator to join our team in Port Chester, NY.

For nearly 30 years, we've proudly served patients and families throughout Westchester County and surrounding communities. Our philosophy is simple: gentle-first, anxiety-friendly, patient-centered dental care.

We believe great dentistry starts with trust. For many patients, deciding to move forward with dental treatment can feel overwhelming—clinically, emotionally, and financially. Our Treatment Coordinator plays an important role in making that process easier.

We're looking for someone who can connect with patients, listen to their concerns, clearly explain their treatment and financial options, and help them feel confident taking the next step toward a healthier smile.

Why You'll Love Working at WGD:

This isn't simply a front desk position.
Our Treatment Coordinator is an important part of the patient journey and works closely with our doctors, clinical team, and administrative team to help patients understand and move forward with recommended care.

What we offer:
  • Competitive pay of $35/hour.
  • Full-time position with an established, growing dental practice.
  • Paid time off.
  • Professional development and opportunities to grow with the practice.
  • Collaborative, supportive team environment.
  • Modern dental technology and comprehensive dentistry under one roof.
  • Opportunity to work with a wide range of treatment, including restorative, cosmetic, Invisalign, periodontal, and implant dentistry.
  • A patient-centered culture built around trust, compassion, and an exceptional experience.

At WGD, treatment coordination isn't about pressuring patients. It's about helping people understand their options, removing barriers to care, and making excellent dentistry feel approachable and achievable.

What You'll Do:

As our Dental Treatment Coordinator, you'll help guide patients from treatment recommendation through financial arrangements, scheduling, and follow-up.

Your responsibilities will include:
  • Presenting treatment plans clearly, confidently, and compassionately.
  • Helping patients understand recommended treatment and answering questions about their next steps.
  • Reviewing treatment fees, insurance benefits, estimated patient responsibility, and financial arrangements.
  • Discussing available payment and financing options with patients.
  • Coordinating and scheduling treatment with our doctors and clinical team.
  • Following up consistently with patients who have outstanding recommended treatment.
  • Building genuine relationships with patients and helping address concerns that may prevent them from moving forward with care.
  • Maintaining accurate treatment, financial, and patient communication records in Dentrix.
  • Tracking treatment acceptance and helping the practice improve patient follow-up and case acceptance.
  • Collaborating closely with doctors, hygienists, assistants, and the administrative team to create a seamless patient experience.
  • Supporting patient check-in, check-out, scheduling, and other administrative responsibilities when needed.

What We're Looking For:

We're looking for someone who combines strong dental knowledge with exceptional people skills.

Our ideal candidate has:
  • At least 3 years of dental office experience.
  • Prior experience with treatment coordination, case presentation, or dental financial arrangements strongly preferred.
  • Strong knowledge of dental terminology and common dental procedures.
  • Experience understanding and explaining dental insurance benefits and patient financial responsibility.
  • Confidence discussing treatment fees and financing options.
  • Excellent verbal communication and interpersonal skills.
  • Strong organization, attention to detail, and follow-through.
  • Experience with Dentrix or similar dental practice management software.
  • A positive, dependable, team-oriented attitude.
  • The ability to communicate with patients empathetically while also helping them make decisions and move forward.
  • Bilingual English/Spanish strongly preferred.

Experience coordinating larger restorative, cosmetic, Invisalign, periodontal, or implant cases is a strong plus.

Most importantly, we're looking for someone who genuinely cares about people. The right Treatment Coordinator understands that behind every treatment plan is a person who may have questions, concerns, anxiety, or financial considerations—and knows how to make that patient feel heard, respected, and supported.
